Call for Expression of Interest for Mantis Akagera Game Lodge`s Communication Services.

About the Company:

Mantis Akagera Game Lodge stands on a hill at the southern tip of the Akagera National Park elevated above the savannah with exceptional views of Lake Ihema with 60 rooms, suites, a conference centre, restaurant and bar.

Introduction:

Akagera Game Lodge, a local company registred under TIN: 100374346 would like to hire an external Consultant for Public Relations and Marketing services of the Property.

Scope of the work:

Interested consultant (s) will be responsible for the following tasks:

Social Media Management:

Managing social media platforms of Akagera Game Lodge as part of four (4) properties under Mantis Brand in Rwanda, as follows:

• Conducting one-off social media audit and updating existing Platforms
• Curating monthly social media content calendars
• Publishing and scheduling content at the following intervals per property per week:
• Twitter: 3
• Instagram: 2
• Facebook: 2
• LinkedIn: 1
• Live tweeting major events and activations

Writing and Storytelling:

Curating and developing impact stories and marketing materials.

• 1x impact story per month
• Brochures, and newsletters (1 per quarter covering all properties)
• Editing and translating content prepared by the properties.

Media Coordination:

Coordinating media around key Mantis events in Rwanda, including:

• Pitching stories to targeted media houses
• Preparing press releases and media briefs/talking points
• Coordinating advertisement

Graphic design:

Providing graphic design services for the following:

• Special promotions
• Social media posts
• Trade fairs (e.g. pitch decks/presentations

Photography and Videography:

Initial Once Off Content Capture (at start of assignment) at Akagera Game Lodge will be needed. Ongoing Photography and Videography - Once per quarter in following three quarters in two trips over 2 days as above, including:

Production:

• Location scouting, photo shotlists
• Shooting properties, services, and/or portraits
• Filming and lighting equipment
• Location scouting, scripting and storyboarding
• Shooting A and B rolls as well as interviews
• Filming, lighting and sound equipment
• Video crew (Creative Director, Camera Operators, Assistants)

Post-production:

• Editing, colour grading, sound mixing
• Subtitling and translation (as needed)
• Adapting to platforms (16x9 and 9x16 or 1x1).

Brand Activations:

Proposing strategic activations ways to boost brand visibility

• Developing concept notes and/or pitches
• Coordinating execution with internal or external teams, including influencers (this includes management only, not the fee for the influencer).

Account management:

• Bi-weekly meetings
• Monthly performance reports
• Quarterly plans of action

Tender submission requirements:

• Interested candidates wanting to express their interests must have at least 3 years of experience in Public Relations and Marketing Services. The experience is proven by the (RDB) Company registration certificate, and the Work Completion Certificates of similar works somewhere else,
• Interested candidates should prove that they are VAT registered and their tax payments are up-to-date (tax clearance and RSSB clearance certificates) for private companies.

• A cover letter expressing their interest in this work,
• Company profile detailing their experience in Public Relations and Marketing Services or similar works,
• A detailed proposal outlining their approach, methodology, and timeline,
• A breakdown of the proposed budget and fee structure,
• Signed and stamped Work Completion Certificate(s) of similar works provided by previous clients,
• Company registration certificate provided by Rwanda Development Board,
• Valid VAT certificate for private companies,
• Tax and RSSB Clearance certificates,
• Any other relevant certificates showing that the interested candidate is eligible for the work.

Evaluation Criteria: Proposals will be evaluated based on the following criteria:

• Experience and expertise in Publics Relations and Marketing Services or related works,
• Proposed methodology and approach,
• References and records of accomplishment,
• Cost-effectiveness.
